Privacy Policy for St Francis Xavier’s Parent Council
St Francis Xavier’s Parent Council is committed to protecting your personal data (information which identifies an individual, such as full names and email addresses), whether you are a member of St Francis Xavier’s Parent Council or the wider Parent Forum. Please read this carefully to understand how we collect and use personal data.
The processing of your personal data is carried out by, or on behalf of St Francis Xavier’s Parent Council, and kept securely.
We will never share your personal data with any third party.

Processing your personal data
We collect/process your personal data under the legal basis of consent. This means we only hold your information by your agreement.
This means we hold it to be able to contact Parent Council members regarding Council matters including meetings and events. The Secretary includes in the cover email for all Parent Council meetings that if anyone wishes to be removed from the distribution list, to let them know and their details are deleted thereafter.
We collect/process your personal data when it is reasonably necessary to carry out a legitimate interest we have identified. Whenever we are relying on legitimate interests, we will consider any potential impact on you, and your rights under UK GDPR.
This means we hold it for the specific purpose for which it was intended and delete the information once a member leaves the Parent Council or following the event for which it was provided.
What we collect
Members of St Francis Xavier’s Parent Council:
- We collect the following information from members when they join:
- Names, email addresses and phne numbers and the name(s) and class(es) f their child(ren) to verify association to St Francis Xavier’s Primary School.
This is so we can keep in contact with you for as long as you are member of St Francis Xavier’s Parent Council.
Members of St Francis Xavier’s Parent Forum
- We collect the following information for the emergency contact register for events organised by the Parent Council such as discos, via an online permission form.
- Child’s name, class, parent/carer name and phne number and their permission for the child to be in photos taken at the event.
This information is deleted after each event with new permission forms being completed on each occasion.
Participants of the 200 Club
- We collect the following information when they join:
- Participant’s name and email address s that we can inform of any prizes or changes to the ‘200 Club’.
We may also collect personal data when you directly interact with us, such as when you email us or engage with our social media.
